Privacy policy

3D Moments is a family owned and operated business in country Victoria, Australia, operated by The Standard Squeeze Pty Ltd (ABN 72 652 159 450), trading as 3D Moments. We make personalised photo keepsakes, which means you trust us with two precious things: your personal information and your photographs. This policy explains, in plain language, what we collect, why, and how we look after it.

This policy covers 3dmoments.co and anywhere else we interact with you (email, social media, and our order process). We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

The short version

  • We only collect what we need to make your order, run our store, and improve it.
  • Your photos are used to create your 3D Moment. That is what they are for. We never sell them, and we never use a customer photo in our marketing without your clear permission.
  • Your photos are not used to train AI models.
  • We never sell your personal information.
  • You can ask us what we hold about you, ask us to correct it, or ask us to delete it, any time, by emailing admin@3dmoments.co.

What we collect

Order information. Your name, email address, phone number, delivery and billing addresses, and details of what you ordered. Payment card details are handled by our payment providers and never touch our own systems.

Your photos and personalisation. The photo you upload, any crop or edits you make in our design tool, and any names, dates or words you add. If you use our photo restoration service, we also hold the working files we create while restoring your image.

Device and browsing information. Like most websites, we automatically collect technical data when you visit: IP address, browser type, pages viewed, and how you interact with the site. This comes from cookies and similar tools described below.

Messages. If you contact us by email, social media or our contact form, we keep the conversation so we can help you properly.

Optional saved designs. If you start a design and choose to leave your email address so you can come back to it, we store that email with your uploaded design.

Your photos

Photos are the heart of what we do, and many of the photos we are sent are deeply personal: loved ones who have passed away, newborns, weddings, and family moments. We treat every one with care.

  • Photos are uploaded to secure cloud storage (hosted with Cloudflare) and are accessible only to us.
  • A real person reviews your photo and design before printing. This is a quality check, nothing more.
  • We use your photo only to produce your order, including any remake under our Remake Promise.
  • We keep your photo and print files for up to 12 months after delivery so we can honour the Remake Promise and make reprints easy, then they are deleted in our routine clean-ups.
  • You can ask us to delete your photos earlier at any time, and we will.
  • We never publish, share or use your photo in marketing without your express permission.
  • Your photos are never used to train AI models.

If you order a gift and upload a photo of someone else, please make sure you have their permission (or the permission of their parent or guardian for a child's photo).

Why we use your information

  • To make and deliver your order, and to contact you about it.
  • To provide customer support and honour the Remake Promise.
  • To run, protect and improve our website.
  • To send marketing emails if you have opted in (you can unsubscribe any time).
  • To show our ads to people who may be interested, and measure whether our ads work.
  • To meet our legal obligations, including tax and consumer law.

Cookies and tracking

Our website uses cookies and similar technologies for three purposes: making the store work (cart, checkout, security), understanding how the site is used, and measuring advertising.

Tools in use on our site include:

  • Shopify, our store platform, which sets the cookies needed for the shop to function.
  • Microsoft Clarity, which helps us understand how visitors use the site (for example, which sections people read) so we can improve it.
  • Meta (Facebook and Instagram) pixel, which helps us measure our advertising and reach people who may be interested in our products.

Where we show a cookie or privacy preference banner, your choices there are respected. You can also control cookies through your browser settings, and opt out of personalised advertising through the platforms' own ad settings.

Who we share information with

We share personal information only with the service providers who help us run the business, and only what they need:

  • Shopify (store platform, checkout and payment processing)
  • Payment providers offered at checkout (for example Shopify Payments and the wallet and instalment options shown at checkout), who process your payment details directly
  • Cloudflare (secure hosting and storage for uploaded photos)
  • Australia Post and delivery partners (name, address and contact details, so your order can reach you)
  • Loox (our reviews platform, if you choose to leave a review)
  • Microsoft and Meta (analytics and advertising, as described above)
  • Sales channels we list products on (such as Facebook, Instagram, TikTok, Pinterest and Shop), which receive product and catalogue data, and order data if you buy through them
  • Email service providers, to send order emails and, if you have opted in, our newsletter
  • Professional advisers and authorities where the law requires it

We do not sell personal information, and we do not share it with anyone for their own marketing.

AI in our business

We are open about the fact that we use AI tools to help run 3D Moments, including helping draft customer messages (a human reviews anything important before it is sent) and preparing our marketing. Two commitments sit above all of that: your photos are never used to train AI models, and decisions that affect you, like a refund or a remake, are made by us, not by software.

Marketing

We only send marketing email to people who have opted in, and every email includes an unsubscribe link that works immediately. We do not send marketing text messages. If you are grieving and would rather not hear from us at all, one email to admin@3dmoments.co is enough and we will quietly remove you from everything.

Overseas disclosure

Some of our service providers store or process information outside Australia, including in the United States (for example Shopify, Cloudflare, Microsoft and Meta). Where that happens, the provider is bound by its own privacy obligations and our agreements with them. By using our site you acknowledge this handling; Australian Privacy Principle 8 guides how we manage it.

Security and retention

We use industry-standard protections: encrypted connections (HTTPS), access controls, and reputable providers. We keep order records for as long as tax and consumer law require, and photos as described above. When information is no longer needed, we delete it.

No online service can promise perfect security, but if something ever goes wrong we will act quickly and tell you what you need to know. We comply with the Notifiable Data Breaches scheme, which means we notify affected people and the Office of the Australian Information Commissioner (OAIC) if a breach is likely to cause serious harm.

Access, correction and deletion

Email admin@3dmoments.co and we will show you what we hold about you, correct anything that is wrong, or delete what we are not legally required to keep. We aim to respond within a few business days, and we will never charge you for a reasonable request.

Children

Our store is for adults. We do not knowingly collect personal information from children. Photos of children are only ever processed on the instruction of a parent, guardian or family member placing an order.

Visitors from outside Australia

We ship worldwide. If you are in the United Kingdom, the European Union or elsewhere, you may have additional rights under your local privacy law (such as the GDPR), including access, correction, deletion and portability. Email us and we will honour them.

Complaints

If you think we have mishandled your information, please tell us first at admin@3dmoments.co and give us the chance to put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

If we change this policy we will post the new version here with a new effective date. Significant changes will be flagged on the site.
